Pre-Odoo diagnosis: a fragmented system in need of care
Prior to implementing Odoo, Key Medical Supply was using a combination of various software to manage its changing business, including Shopify, Quickbooks, and inFlow Inventory. Chief Operating Officer Yoni Osch explains that when the company first started in 2019, it was more of an eCommerce business. As the company began transitioning to the B2B model that it currently has, Yoni says that Shopify simply couldn’t keep up. Key Medical Supply’s orders were simply too large, with as many as 300-400 SKUs in them, and these orders were constantly being edited or customized. For example, Shopify is not designed to partially invoice an order for only what’s been delivered or to reroute certain products in an order from alternate warehouses. The platform was simply not built to handle changes like this, and the company kept running into roadblocks when it came to Shopify’s limitations.
Key Medical Supply’s team particularly faced frustration when it came to Shopify’s inability to communicate with other key, related software needed to complete the company’s typical workflow. Yoni explains the time and energy the company wasted using a multitude of platforms that were disconnected:
[It was] just a lot of double work– doing things in Shopify and then, because Shopify wasn’t communicating with the [warehouse management system], manually having to do something again in another piece of software. And then having to figure out in Quickbooks why something imported was the wrong total or shows it’s paid that isn't paid. So you know, you’re selling in one platform, you're fulfilling in another platform, and then you’re invoicing in another platform. And the three are supposed to talk to each other, but none of it is done effectively.
It became clear that Key Medical Supply couldn’t move forward this way if it wanted to continue its growth. Around the time that the company reached its breaking point, Yoni came across Odoo by chance when he was placing an order on one of Key Medical Supply’s vendors’ websites, and saw a dashboard that he really liked. It's completely overhauled our workflow from A to Z… it’s been a night and day difference. A, being able to see our data, and B, having our warehouse fully digitized to be all barcode, pick-pack-and-ship. The locations, the efficiency of picking orders in an efficient route, visibility, the reporting… it’s a night and day difference.
While Key Medical Supply focuses primarily on distribution, Yoni explains that the company “does everything” and has multiple lines of business that Odoo has made more efficient.
