LivelinkMotor S.L. is a Spanish technology-based company dedicated to the development of intelligent solutions for the mobility sector, with a special focus on two-wheeled vehicles. The commercial brand under which they operate is KOMOBI and they already have thousands of users in dozens of countries.

KOMOBI allows users who own motorcycles and scooters to protect their vehicles from theft, monitor their daily activity in real time and access key data for their driving.

In addition, they have two business verticals: solutions for vehicle fleets (B2B) and solutions for motorcycle manufacturers (OEM). In the first, they offer companies with motorcycle fleets the necessary tools for managing, monitoring and optimizing operations. In the second, they collaborate with manufacturing brands by integrating KOMOBI technology as a connectivity solution adapted to their needs.

For all these aspects of the business, Odoo's modularity has been key to being able to integrate the different processes into a single platform, with a global vision of the business and a significant improvement in efficiency and control.

Taking a look back

LivelinkMotor worked in a completely manual way, keeping all its operations in Excel spreadsheets, Word documents and emails. Each area of the company was managed from a different platform, which caused them, like so many other companies, duplication of tasks, manual errors and lack of traceability, which complicates decision making on a daily basis and in the long term.

This is why they started looking for a solution to implement and unify processes. In this search they found Odoo and it was chosen among other software because of its Open Source nature, modularity and the wide offer of customization.

At the beginning of the implementation they had problems in several areas, from the most general ones such as the difficulty in scaling the verticals, to the lack of stock control to a complex and manual bank reconciliation that reduced productivity and hindered the closings.

LivelinkMotor saw the need to work with Odoo's native Sales and CRM applications to manage the commercial processes, budgets and contracts of both the B2C and B2B verticals. In addition to the integration with the WooCommerce platform to automatically import their online orders.

Following the commercial line, they added the Subscriptions and Invoicing applications, with which they can manage recurring invoices according to the lifecycle of their devices, automating activations, renewals and cancellations and most importantly, bank reconciliation. This saves a lot of manual work that impacts both the productivity of the finance team and reduces the risk of human error.

The Inventory application was needed to manage all the stock control of the IoT devices they manufacture, warehouses, shipment tracking and product traceability.

Finally, to improve customer-facing service to the company's customers and partners, the Helpdesk application and customer portal were key. On the one hand, thanks to Helpdesk, they offer customer service and technical support with cross-visibility of orders, devices and subscriptions. In addition, thanks to the customer portal, all users in their B2C vertical can access and consult their subscriptions, invoices and manage their business relationship autonomously.

The Odoo Journey

LivelinkMotor started implementing Odoo 13, focusing on the Manufacturing, Sales and Invoicing modules. They identified from the beginning the need to customize certain functionalities of each module, so they chose to work with an official Odoo Partner. Due to their needs, they have been working with several partners and are currently collaborating with AvanzOsc SL, Odoo Ready Partner.

For the IoTs they manufacture, they needed quality controls, traceability through serial number tracking and other specific functions in terms of assembly details. All this was possible thanks to the work done in each module.

At the same time, the automatic synchronization of online orders was a necessity, so they integrated with WooCommerce, thus automatically managing orders, customers, coupons and more specific tax situations, such as those of customers located in the Canary Islands, as they are subject to IGIC.

To continue the implementation, they moved forward with the subscriptions module and the migration of the database to Odoo 14. Due to the nature of the service offered by LivelinkMotor, it was necessary to redesign together with the Partner the Subscriptions module. The life cycle of each device varied, so specific developments had to be made. On the other hand, when a device is sold, the delivery is generated, the subscription is associated and linked to the unique serial number.

Regarding lifecycles, when the start trigger is activated, each IoT device subscription starts, this is done by the client itself from the app. Thus, the system calculates the end dates, generates the corresponding invoices and enables end-user access to the Odoo customer portal. In addition, this allows payments to be made through integration with Stripe, thus facilitating subsequent bank reconciliation, thanks to the implementation and automation of the Odoo Invoicing application.

Working and growing with Odoo

The implementation of the applications, being so intense and detailed, was progressive, following the implementation methodology recommended by Odoo, starting with the most basic processes until reaching the most advanced automations and integrations. Today they have been working with Odoo for 3 years and continue to evolve within the environment, seeking to obtain greater flexibility to expand the different verticals in the most agile and efficient way possible.

However, even though the implementation has been a success and has brought so many positive things to LivelinkMotor, throughout such a transformative change process, obstacles can arise. In this case, the need to adapt certain Odoo modules to align them to the particularities was one of them. In addition, there was the migration of a large amount of data from different platforms to Odoo. Cleaning up these files always takes time, as does importing them into the system.

Finally, the problem that most companies face when implementing new software lies in the change in day-to-day operations for the staff. Internal training and closer monitoring during the initial phases were necessary to ensure proper functioning.

Odoo has helped LivelinkMotor overcome the initial fragmentation of processes, centralizing key areas for their business on a single platform. Thanks to extensive customization possibilities, they have been able to automate critical tasks, improve traceability, eliminate manual errors and scale more efficiently.

Although they do not have exact metrics, they have noticed an extraordinary improvement in the efficiency and reliability of their recurring operations. In addition, having a unified view of sales, revenue, active subscriptions and traceability of the entire lifecycle of their products and services, the control over all assets is unbeatable. 

Thanks to Odoo's centralization and native functionalities to visualize indicators and graphs, they can make better informed decisions, have greater financial control and optimize investment planning. Thus, Odoo has become the basis of their operational and economic visibility, enabling a more strategic and structured management of the company's growth.
